Privacy policy

Klosemore is built and operated by Ars Ratio, based in the European Union. This policy covers both this website (klosemore.com) and the Klosemore product (app.klosemore.com). It is written in plain English on purpose. If anything is unclear, email raitis@arsratio.co and a human will answer.

The short version

  • Your CRM stays the source of truth. We read from it; we only write back what you approve.
  • We ingest email selectively: only messages involving people already in your CRM are kept. Everything else is discarded.
  • We never sell your data and never use it to train AI models.
  • This website sets no tracking cookies and runs no advertising scripts.
  • Delete your workspace and the data we hold about it goes with it.

Data we collect on this website

If you request access to the beta, we collect the email address and optional company name you type in. That request is sent to us as an email via Resend (our email provider) so we can reply and set up your workspace. It is not added to any marketing list. That is the only data this website collects.

Data the product processes

From your CRM (Pipedrive)

When you connect Pipedrive, Klosemore reads your deals, contacts, organizations, activities, and email threads synced to Pipedrive. Access is granted through Pipedrive's own OAuth flow; you can revoke it in Pipedrive at any time. The only things Klosemore writes back to your CRM are the tasks and activity logs you approve, one click at a time.

From your mailbox (Gmail)

If you connect Gmail, ingestion is contact-filtered: we only keep messages that involve a contact or organization already in your CRM. Mail that does not match a known contact is not stored. The initial backfill is capped at 90 days of history. We use mailbox data to detect deal signals, such as a warm reply that was never answered; we do not read your inbox for any other purpose.

Integration credentials

Connections beyond Pipedrive (starting with Gmail) run through Composio, an integration platform. When you authorize such a connection, the OAuth tokens for it are held in Composio's managed token vault, not on our servers. We hold a reference to the connection and can revoke it; you can also revoke access directly with the provider (for example, in your Google account settings).

Account data

Sign-in and account management are handled by Clerk. We store your name, email, and workspace membership.

AI processing

Klosemore's signals, chat answers, drafts, and reports are generated by large language models. To produce them, relevant slices of your workspace data (for example, a deal and its recent email thread) are sent to our AI providers for processing. We use providers under terms that prohibit training their models on your data. AI outputs are suggestions; nothing is sent or written back without your approval.

Who processes data on our behalf

  • Vercel - hosting for the website and the product.
  • Neon - the PostgreSQL database where workspace data lives.
  • Clerk - authentication and account management.
  • Composio - integration platform and OAuth token custody for connected tools.
  • Resend - transactional email, including access requests from this site.
  • AI model providers - language-model processing for signals, chat, and reports.
  • Sentry - error monitoring, so we find out about bugs before you have to report them.

Retention and deletion

Workspace data is kept while your workspace is active. Delete your workspace, or ask us to, and the CRM and mailbox data we hold for it is deleted. Your originals are untouched; they live in your CRM and mailbox, which is exactly the point.

Your rights

Under the GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it or delete it, and object to or restrict its processing. Email raitis@arsratio.co and we will respond within 30 days. You also have the right to complain to your local data protection authority.

Changes

If this policy changes in a way that matters, we will say so plainly: a note to active workspaces and an updated date at the top of this page.
